A supplier invoice arrives by email. The system extracts the issuer, invoice number, date, lines and amounts. It checks totals, looks for duplicates and compares agreed references. If something does not match, the record stays pending for your team. Registration only happens after the agreed checks and approval.
Extraction, checks and integration.
We combine OCR and AI to read variable formats, with explicit rules for arithmetic, required fields and catalogue references. The agreed destination may be your ERP, accounting software or a controlled export. We review available APIs, formats, licences and permissions before committing to an integration.
What we need to test it.
Representative sample documents, including difficult cases; a field map; validation rules; and a person responsible for review. We define what counts as a correct record, what blocks registration and how to trace each field back to its source. Access is limited to the information the process needs.
Measure the work, including exceptions.
Compare manual entry time with extraction plus human review. Track the percentage of documents accepted without correction, duplicates caught, fields corrected and time until the record is available. The pilot should show whether the total workload falls, not just whether the first draft appears quickly.

A recurring supplier invoice, a customer order or a delivery note is enough for a first pilot. We agree volume, destination, acceptance criteria and cost. Tax decisions and accounting approvals remain with the people authorised by your business.
