2. Data and purpose
We process the information you provide when contacting us by email, phone or WhatsApp: identity, professional details, contact information and enquiry content. We use it to respond, prepare proposals and manage a professional relationship when established. It is not automatically added to advertising lists.
The contact page form prepares a draft in your email application. Its fields are processed in your browser; they are not stored or sent to an Olduvia server. The communication only reaches the owner if you send it from your application.
3. Legal bases
Quote requests and service delivery rely on requested pre-contractual measures and contract performance. Other enquiries and site security rely, where appropriate, on the legitimate interest in managing communications and protecting the service. Invoicing and other statutory requirements rely on compliance with legal obligations. Consent for optional processing will be requested separately when required.
4. Hosting and communications
Hostinger provides hosting and may process technical logs, such as IP address, date, requested resource and browser, to serve and protect the site. Page resources are hosted with the website itself. No analytics or advertising are embedded.
The WhatsApp link opens an external WhatsApp/Meta service. Its terms and privacy policy also apply, including provisions on providers and international transfers. You can choose email or phone instead. No WhatsApp widget loads during browsing.
5. Providers and collaborators
Data may be accessible to providers needed for hosting, communications, administration or project delivery, within their roles and with the required safeguards. Data may also be disclosed when legally required. Relevant terms and authorisations are defined before client data is provided to AI tools or collaborators. This website does not send form fields to AI models.
6. Retention
Enquiries are retained as long as necessary to resolve and follow them up. Where a contractual relationship exists, documents are retained during that relationship and applicable statutory periods, then deleted or restricted as appropriate. Technical logs are retained according to hosting terms and security needs.
7. Rights
You may request access, rectification, erasure, objection, restriction and portability where applicable, and withdraw consent, by writing to info@olduvia.com. Additional identity verification information will only be requested if necessary. You may complain to the Spanish Data Protection Agency.
8. Project information
When the owner processes data on behalf of a business client, responsibilities, instructions, subprocessors, security measures and retention are governed by the relevant agreement. This website does not make automated decisions with legal effects.
9. Customer service virtual assistant
The chat at asistente.olduvia.com and the initial automated support on WhatsApp use Chatwoot to manage conversations, OpenAI to generate responses and Hostinger to host the integration. When you send a message to the assistant, its content and a recent history of public messages are processed to respond and, where appropriate, pass your enquiry to a person. Internal support notes are not sent to the AI model.
The integration retains recent message history and conversation status to maintain context, avoid duplicate replies and respect handovers to human support. Support conversations are managed in Chatwoot in accordance with the purposes and retention criteria described in this policy.
Do not send passwords, identity documents or sensitive information. Attachments are referred for human review; the assistant does not automatically download or analyse them. You can request human assistance at any time or contact us by email or phone. The assistant provides initial guidance and does not independently confirm quotes, bookings or service delivery times.
If you choose to continue from the website on WhatsApp, the assistant generates a private reference valid for 24 hours. Sending the prepared message from WhatsApp links your website enquiry to the WhatsApp conversation once. Up to five recent customer messages are included in a summary visible to you and the team. Internal notes and attachments are not copied. Original histories remain in their respective channels, and both assistants are paused for human support. Requesting another link before using it replaces the previous one. Do not share the link with other people.
Scenario and report requests
You may use the calculator without sending its figures. Clicking “Send scenario and download PDF” authorises transmission to Olduvia of all inputs, results, projection and PDF report, selected example, language, reference, date and IP observed by the server, even if you do not subsequently complete the form. The purpose is to handle the request and understand scenarios of interest to visitors; this voluntary transmission relies on consent through that button, preceded by visible information. We do not record every change or send calculations merely when browsing or leaving the page.
Downloading requires a name and at least an email or phone number. Those details are linked by reference to the initial request. Commercial follow-up requires the separate optional checkbox. A request without contact details is not anonymous because it includes an IP; this may be shared or belong to a proxy and does not establish a person’s identity. We do not geolocate or try to identify visitors through their IP.

A technical session cookie protects submissions against abuse. Client and team access pages remain in preparation and do not collect credentials.
